1. Waiting for the Ship to Arrive
Once your ISF is filed, we wait for the ship to approach the US coast. Here's what you need to know during this period:
Arrival Notice and Invoice
At least two days before the ship's estimated arrival, the shipping company will send you an "Arrival Notice." This notice often includes an invoice for unloading and port handling fees. Here’s what you need to do:
- Settle Fees: Pay the fees as outlined in the Arrival Notice. If any
- Bill of Lading (BOL): If required, mail the Original BOL to the shipping company. For "telex release" shipments, this step is not necessary.
- Receive Freight Release: The shipping company will issue this document once all fees are paid and any required documents are received.
Forward the Arrival Notice
Send us a copy of the Arrival Notice immediately. This document is crucial for creating your entry in the CBP (Customs and Border Protection) system (discussed in step 3).

Important: If you have not received an Arrival Notice two days before the scheduled ETA, we highly recommend reaching out to the shipping company as this document is necessary for the clearance and release of your cargo.
2. Preparing for Pickup
When the ship arrives, you will need two key documents to collect your shipment:
Freight Release
Issued by the shipping company, this document indicates that your shipment is cleared for release after all fees are settled and the necessary paperwork, including the Original BOL for non-telex releases, is provided.
Customs Release
We will assist you in obtaining this crucial document, which authorizes the release of your shipment from customs.
3. Customs Clearance Process
Once we receive your Arrival Notice, we will begin working on your customs clearance process, which includes:
Creating the Entry
Creating the entry involves several meticulous steps:
- Data Extraction: We extract all relevant information from the Arrival Notice, including shipment details, consignee information, and cargo descriptions.
- Data Verification: We cross-check the extracted data against the ISF and other provided documents to ensure accuracy and consistency.
- Regulatory Compliance Check: We review all shipment details to ensure compliance with CBP regulations and other applicable import laws.
- Documentation Preparation: We prepare necessary documentation, including the customs entry form and any additional forms required for specific types of cargo.
Invoice Preparation
We will prepare a comprehensive invoice that includes:
- Our service charges
- Customs duties
- Associated fees
Payment
Once you receive the invoice, promptly make the payment to cover the listed charges.
Submission to CBP
After we receive your payment, we will submit the release request to CBP on your behalf. This step is essential to obtain the Customs Release, which is necessary for your shipment to be released from customs.
4. Inspection and Release
While most shipments are released automatically, there is a chance your shipment may be selected for additional inspection. If this occurs, we will guide you through the necessary steps to ensure compliance.
5. Final Steps for Shipment Collection
Once your shipment is released, we will send you the Customs Release documents and Delivery Order. These documents, along with the Freight Release, authorize you to collect your shipment. If someone else is collecting the shipment on your behalf, make sure to forward these documents to them.
Third-Party Pickup
If a third party will be picking up your goods, please inform us and provide their name (either a company or an individual). We will include this information in the Delivery Order, as many locations require it before releasing the goods to a third party.
